Although some have enjoyed the benefits of remote work for many years, prior to the global pandemic; however, there can be no doubt that the events of 2020 have revolutionised the business landscape. Where before companies adjusted, employee by employee, to the requirements of remote work: equipping such workers relative to their needs; with the current situation, no such gradual implementation is possible.
Therefore, many have scrambled to provide the required equipment, with employees themselves often having to find the kit needed. Yet, despite the chaos, a new normal is emerging with remote work at its centre. Companies which now adapt, and equip their teams are likely to thrive into the future.
As such, we’ve compiled the key tips to follow when equipping your teams for remote work.
Decide What is Needed
In a time of struggling business and an anaemic economy, companies don’t have millions to throw around, using the latest and greatest equipment for their employees. I’m sure they wish they had, but they don’t. As with many things in life, luxury will have to wait.
So, when attempting to equip employees, it is best to get a firm understanding of what is needed. What jobs the equipment will perform; and what can be considered extraneous, i.e. unnecessary.
A laptop is probably an essential bit of kit; few modern jobs can be completed without one. If purchasing in bulk, look for the best deals around, as well as long-term warranties and repair options. For additional hardware, you might also provide a monitor and a keyboard. However, items such as a printer, while useful, are not necessary, at least not for everyone. Yet, some jobs will require them.
Other equipment, for instance, filing cabinets, ergonomic chairs, a desk and more, should only be provided on a need basis, as per an employee’s responsibilities.
Clarify Who Pays
Each company will take a different view on the payment of equipment for remote work. Some argue that by working from home employees enjoy substantial benefits and cost-reductions, i.e. reduced commutes, and therefore, are responsible for the purchasing of their own equipment. Others are willing to pay for a laptop, but following that, ask that the employee provides any further equipment. Others have provided all the equipment free of charge. In contrast, some have offered a dividend, to be used to acquire the furniture and equipment needed for a complete home office set-up.
Needless to say, some of these options will not be possible for companies due to financial limitations. However, it is crucial to consider the repercussions of not providing adequate equipment. Workers who have purchased their equipment will be freer to pursue other job opportunities, or if possible, to go freelance. They may resent having to spend hundreds or thousands providing equipment. After all, many companies are also likely to save money on office space.
However the equipment is paid for; it is vital to get a clear guideline in place to reference for future employees. You don’t want to create one rule for some, and another rule for others.
It’s How You Use It
There are dozens of different software packages that make remote work easier and more productive, from cloud storage to video conferencing. The latter allows employees to communicate with colleagues, engage in team meetings or liaise with clients.
However, while on a video call, some employers might be concerned that clients may judge their company based on their employee’s homes. After all, some people are juggling their jobs with their kids and pets. There are options available, such as virtual backdrops. These extraordinary virtual backgrounds, from swanky offices to serene natural scenes, disguise a person’s home with green-screen technology. They are well worth the investment.
Additionally, screen sharing allows employees to provide insight into their current work. In contrast, virtual whiteboards allow brainstorming or the jotting out of a diagram.
Such change, while imposing at first, should be considered as an opportunity. Employers will gain the benefits of their employees’ happiness and health through productivity. All they need is the right equipment.
